Brief Description: Support creative arts programming by coordinating events, managing logistics, and liaising with partners, vendors, and internal teams. Assist with venue bookings, procurement processes, registrations, and permits. Maintain databases and reports, support marketing efforts, and contribute to pre- and post-event evaluations. Participate in on-site event execution, including occasional evenings and weekends.
Roles and Responsibilities:
Support for Creative Arts Programming, including Youth Month as well as Comma. This would include meeting partners, helping to run events on the ground, as well as assist with logistics and paperwork as necessary.
Setup and manage event logistics & operations, such as venue bookings, sourcing & negotiating with vendors & suppliers, perform on-site and off-site registration, including:
Call for proposals (RFP) / Invitation to Quote (ITQ);
Collation of surveys and post-event reports from participants, partners & community leaders;
Ensuring database and event calendar is up to date;
Update monthly reports;
Pre & post-event reviews and presentations
Work with Estates team to ensure smooth running of events, including but not limited to application of appropriate permits and licences; coordination with 3rd party vendors and contractors, etc.
Work with Marketing to promote engaging marketing content on assigned programmes/projects, for EDMs, social media and other digital platforms
Able to commit time for events purposes occasionally after hours and over the weekend
Interest or experience in events management and/ or the arts will be looked upon favourably
Learning Objectives and Outcomes:
Develop practical skills in end-to-end event planning, coordination, and on-site execution
Gain experience in vendor sourcing, procurement processes, and stakeholder management
Build capabilities in logistics planning, including permits, registrations, and operations
Enhance skills in data management, reporting, and post-event evaluation
Strengthen collaboration with cross-functional teams
Duration of Internship: 6 months
Daily Working Hours: Mon-Fri, 9.00am to 6.00pm
Will this internship require weekend work?: Flexible - weekend work may be required depending on operational needs
