Brief Description: We are seeking a motivated and detail-oriented intern to assist in the development of a comprehensive Volunteer Management Framework (VMF). This role includes establishing a system to track volunteer data (e.g hours completed, feedback, and reviews), organise a volunteer appreciation day, and preparing the necessary documentation to justify and apply for the NCSS Tech-and-Go! Fund.
Roles and Responsibilities:
Volunteer Management Framework Development:
Assist in designing and refining a Volunteer Management Framework based on the NCSS VMM guidelines
Research best practices in volunteer engagement, tracking, and recognition and suggest changes to the volunteer management manual
Enhance the standard operating procedure and workflows for volunteer recruitment, onboarding, training, scheduling, and retention
System Implementation:
Research and recommend appropriate volunteer management software or tools to track volunteer hours, roles, feedback, and reviews
Support the setup of a database or software system to streamline volunteer tracking and reporting
Test and troubleshoot the system to ensure functionality before full launch
Data Collection & Reporting:
Collect, organise, and maintain accurate records of past and current volunteer data (e.g., contact details, hours logged, feedback)
Generate reports on volunteer participation for internal reviews, impact reports to corporates for their tracking and reporting, and external funding applications
NCSS Tech-and-Go! Fund Application Support:
Assist in preparing documentation for the Tech-and-Go! Fund application, including justifications, cost-benefit analysis, and supporting materials
Collaborate with internal stakeholders to gather necessary data for submission
Stakeholder Engagement:
Coordinate with volunteers to gather feedback on current processes and identify areas for improvement
Engage with internal teams to ensure alignment between volunteer management goals and organizational objectives
Volunteer Recognition Initiatives:
Propose creative ideas for recognising volunteers' contributions (e.g., awards, events)
Assist in planning appreciation activities to appreciate volunteers
Learning Objectives and Outcomes:
Gain hands-on experience in designing and implementing a Volunteer Management Framework aligned with industry best practices
Develop skills in project management, stakeholder engagement, and data analysis within a non-profit context
Contribute meaningfully to an impactful project that enhances inclusivity within TomoWork’s ecosystem
Duration of Internship: 6 months
Daily Working Hours: 9.00am - 6.00pm
Work Days: Monday, Tuesday, Wednesday, Thursday, Friday
Minimum Qualification: No minimum education (i.e. A-level Graduates, Current Polytechnic students are welcome)
