Brief Description: The role involves managing event logistics, including venue bookings, vendor negotiations, and registration. Responsibilities include handling RFPs/ITQs, compiling surveys and reports, maintaining databases, and updating event calendars. Collaboration with Estates and Marketing teams ensures smooth execution and promotion. Flexibility for weekend/evening events is required. Experience or interest in events management or the arts is advantageous.
Roles and Responsibilities:
Setup and manage event logistics & operations, such as venue bookings, sourcing & negotiating with vendors & suppliers, perform on-site and off-site registration
Call for proposals (RFP) / Invitation to Quote (ITQ)
Collation of surveys and post-event reports from participants, partners & community leaders
Ensuring database and event calendar is up to date
Update monthly reports
Pre & post-event reviews and presentations
Work with Estates team to ensure smooth running of events, including but not limited to application of appropriate permits and licences; coordination with 3rd party vendors and contractors, etc.
Work with Marketing team to promote engaging marketing content on assigned programmes/projects, for EDMs, social media and other digital platforms
Learning Objectives and Outcomes:
Event Planning & Logistics – Gain hands-on experience in organising events, managing venues, coordinating with suppliers, and overseeing registration.
Stakeholder Management – Develop negotiation and collaboration skills by working with suppliers, partners, and community leaders.
Project Coordination – Learn to maintain event calendars, track progress, and compile post-event reports for analysis and improvement.
Teamwork & Leadership – Develop coordination and leadership skills by collaborating with internal teams and external suppliers.
Duration of Internship: 6 months
Daily Working Hours: 9.00am - 6.00pm
Work Days: Monday, Tuesday, Wednesday, Thursday, Friday
Minimum Qualification: No minimum education (i.e. A-level Graduates, Current Polytechnic students are welcome)
Requirements (if any):
Able to commit time for events purposes occasionally after hours and over the weekend
Interest or experience in events management and/ or the arts will be looked upon favourably
